1. Information We Collect

We collect information you provide directly to us when you:

• Create an account: Name, email address, phone number, company name, and billing information.
• Use the Service: CRM data you enter including contacts, leads, deals, accounts, notes, and activities.
• Make payments: Payment details processed securely through Cashfree Payments. We do not store card numbers or sensitive payment credentials on our servers.
• Contact support: Communications, feedback, and inquiries you send us.

We also collect certain technical information automatically, including IP address, browser type, device identifiers, usage logs, and cookies.

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the SaibaCRM platform and services.
• Process transactions and send related information including purchase confirmations and invoices.
• Send technical notices, updates, security alerts, and support messages.
• Respond to your comments and questions and provide customer service.
• Monitor and analyse usage patterns to improve user experience.
• Comply with legal obligations and enforce our Terms of Service.

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

3. Data Storage and Security

We implement industry-standard technical and organisational measures to protect your data, including SSL/TLS encryption in transit, encrypted storage at rest, access controls, and regular security reviews. Each tenant's data is isolated in a dedicated database environment.

We strongly recommend that you maintain independent backups of any critical business data stored on SaibaCRM. We shall bear no responsibility for any loss of data, however caused.

4. Data Retention

We retain your personal information and account data for as long as your account remains active and your subscription is in good standing. An account that is both inactive and unpaid — no user activity and no active paid subscription (trial ended without upgrading, or a lapsed/expired/unpaid subscription) — for 60 consecutive days is automatically deleted. We send warning emails at 30 and 50 days before deletion. Signing in and bringing the subscription up to date resets this period. You may also delete your account at any time. Backups may retain deleted data for up to 30 additional days before permanent removal from all systems, except where we are legally required to retain certain records (e.g. tax/financial) for a longer period. We are not responsible for any data loss that occurs during deletion, migration, or account termination processes.

5. Third-Party Services

We use the following third-party services to operate SaibaCRM:

• Cashfree Payments: Payment processing. Governed by Cashfree's Privacy Policy.
• Cloud Infrastructure Providers: Hosting and storage of your data on secure cloud servers located in India.
• Email Service Providers: Delivery of transactional and notification emails.

These third parties have access to your information only as necessary to perform their functions and are obligated not to disclose or use it for any other purpose. We are not responsible for the privacy practices of third-party services.

6. Cookies

We use cookies and similar tracking technologies to maintain your session, remember your preferences, and analyse how our service is used. You may disable cookies in your browser settings, but doing so may affect the functionality of SaibaCRM.

7. Your Rights

Subject to applicable law, you have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate or incomplete information.
• Request deletion of your personal information, subject to legal retention requirements.
• Object to or restrict processing of your data in certain circumstances.
• Export or download your CRM data from within the platform.

To exercise any of these rights, you can use the in-app tools (Export data / Erase on a contact record, and the unsubscribe link in marketing emails) or contact our Data Protection Officer (see below).

7a. Data Protection Officer

Our Data Protection Officer is responsible for overseeing data protection and handling data-subject requests (access, rectification, erasure, portability and objection):

We will respond to verified requests within the timeframes required by applicable law (generally within one month).

8. Children's Privacy

SaibaCRM is intended for use by businesses and individuals who are at least 18 years of age. We do not knowingly collect personal information from children under 18. If you become aware that a child has provided us with personal information, please contact us immediately.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of SaibaCRM after such changes constitutes your acceptance of the revised policy.
